If you offer classes, tours, or other group sessions at your shop, you can create group services and templates to easily manage special events.
What are group services?
Group services can be any service where multiple people are attending the same booking. Some examples include:
- Lessons and instructional classes
- Gym and fitness classes
- Tours and tastings at a brewery
- Pop-up events
- Parties and corporate events
How do group services work?
Group services are scheduled in advance by a shop admin, and are displayed on the widget with a special badge to signify the type of service (a group session, class, event, or tour).
Admins can create new occurrences for each time a group service runs (for example, if your shop hosts a weekly event), and clients who select the group service on the widget will be able to select which time slot they'd like to book the group service for.
Enable group services
If this is your first time creating a group service, you may need to enable group service creation in the shop settings. To enable group services, navigate to Settings > App Settings > Services, turn on the checkmark for Enable group service management, and click Save.
Create a group service
To create a group service, navigate to Manage > Group Services and click New Group Service. Give the group service a name, and add an optional description and image, to let clients know more about the service.
You can add a cost, or leave it at zero so that it's not shown to clients. To allow clients to book multiple slots for one service, so that they can book on behalf of a group, turn on the checkmark for Allow clients to book more than one slot at once. Clients will be able to select the amount of slots they want to book on the widget.
Group services will be displayed on the widget with a badge, to differentiate them from regular services. You can set the badge to say "Session", "Class", "Event", or "Tour", by selecting the option from the dropdown under Group Service Type.
Click Save to confirm your changes, and then you'll be able to add the group service to your schedule.
Add a group service to the schedule
After you create a group service, you can add it to your schedule from Manage > Group Services by clicking Add Occurrences beside the group service name.
First, set the day, start, and end time for the group service, and set the maximum number of people under Slots. Next, select the provider offering the group service from the Provider dropdown. Note: if you can't select a provider, this means the selected day and time has no available providers.
To add multiple occurrences at once (for a recurring service, like a weekly class), click the plus sign button on the left. Click the red X to remove an occurrence. When you're finished adding occurrences, click Save to create the time slots.
You'll now be able to see the group service occurrences on your schedule, and you'll see a number under the group service name displaying the number of clients who signed up, and the total number of slots. You can click on the time slot to view the client list, and click Add Person to add a client, or Remove to remove a client from the group service.
Cancel, edit, or remove a group service
You can cancel individual group service occurrences from the schedule, by clicking on the time slot and clicking Cancel.
You can edit or remove a group service by navigating to Manage > Group Services and clicking Edit beside the group service name. To remove a group service, so that new occurrences can't be created, set the group service Status to Inactive. Click Save to confirm your changes.
